Terms and Conditions.

1.1 Bookings are not confirmed until you receive a booking confirmation email from us. It deemed that the customer has read, understood and has fully agreed to our terms and conditions of hire stated below.

1.2 In the event that Olivana Events is not ready to commence at the agreed time, due to our own fault, Olivana Events will still operate the agreed hire period by extending the finishing time of the hire (venue permitting). In the event that the hire does not start at the agreed time, due to any unforeseen circumstances that are no fault of Olivana Events, the hire will still end as per the agreed time as per agreed booking form. Where during the session, should a temporary pause in service occur, for photo booth maintenance, time will be added on at the end of the agreed time to account for this.

1.3 A standard booking includes up to 3 hours at the event. Should longer be required, either active or idle (set up, but not in use), this should be discussed prior and quoted accordingly.

1.4 Parking costs and/or toll charges are not included within our price. Where free parking is not available at the venue, parking costs will be charged to the client following the event, as well as any toll charges incurred.

1.5 London Photos cannot be held responsible for any circumstances that may prevent us from attending your event; these may include but are not limited to severe weather conditions, unexpected traffic delays or equipment failure. In the case that we cannot attend or fulfil your booking due to events beyond our control, we will contact you or the venue as soon as possible. In these instances, our liability will be limited to refunding all monies paid.

Prices, Deposit & Balance Payments

2.1 All hires are subject to a deposit of at least £50 (Deposit is non-refundable).

2.2 The remaining balance to be paid in full and cleared 7 days prior to the event start date. If, at the event, it is agreed by both parties that the service is extended/upgraded, the agreed additional amount is to be paid on the day, unless agreed otherwise.

2.3 Advertised prices are subject to change without prior notification., however all prices agreed at time of booking will be honoured.

Cancellations

3.1 Any cancelled order is subject to the following cancellation charges: Up to 6 weeks prior to event date 50% refund of order value. Up to 2 weeks prior to the event date 75% refund of order value. We regret we are unable to refund any monies paid after this time.

 

3.2 Where cancellations occur due to government policy, due to for example pandemic related issues, all monies paid can be transferred to a new date/booking, without time limit.

 

Equipment

4.1 The company reserves the right to substitute hired equipment with equipment of a similar type and value without notice in the event of previous damage or loss of booked equipment.​

4.2 All goods always remain the property of the company.

Site Location, Facilities & Conduct

5.1 Hired equipment will be set up in one location only as agreed on arrival and cannot be moved once set up. Please ensure there is sufficient space (minimum 2.5m x 2.5m) at your venue to set up the photo booth.

5.2 We expect to be informed of any circumstances that would make setting the booth up more demanding, including going upstairs, long distances from unloading area to booth location at the event etc. We allocate a set period of time for setting up our equipment at your venue which is included within your price. If there are any complications that are not made known to us prior to the event, we regret this could result in a shorter booth run time.

​5.3 If at any time a representative of the company feels that guests or clients conduct endangers the safety of the guests, clients, themselves or the safety of the hired equipment, the company reserves the right to cease operation and remove hired equipment from site. In such cases no refund will be given, and full contracted fees will be due to the company.​

Liability & Insurance

6.1 The client agrees to cover the company for any damage or theft of the company’s equipment whilst on hire.

6.2 The company accepts no liability for any damage or loss of personal property and or any injury arising from the use of the hired equipment.

All other terms and conditions

7.1 Any personal information collected either prior to the event or at the event, from the client or guest will not be shared to any third-party companies, unless consent is received prior.

 

7.2 Olivana Events may use any of the photographs from your event for suitable means; this includes but is not limited to advertising and promotional material either in print or on the internet. Attending your event would mean you agree and permission has been granted to do so by yourselves and your guests.

 

7.3 Olivana Events may contact the client or guests in the future to share details of a new product, related to the original product booked by the client.
